Step-by-Step Guide to Migrating from Salesforce to Zoho CRM

Migrating from Salesforce to Zoho CRM is straight forward when you follow a step-by-step process. Below, we break down the entire migration journey—from exporting your Salesforce data to ensuring everything is set up correctly in Zoho CRM.

1. Export Data from Salesforce

The first step in the migration process is to export your data from Salesforce. Follow these steps to get started:

Go-to-Setup

Login to Salesforce: Log into your Salesforce accountand click on Setup in the top right corner.

Navigate to Data Export: Use the Quick Find Box to search for Export, then click on Data Export under Data Management.

Choose Data for Export:

      1. Select the encoding format you need.

      2. Ensure you select the option Include All under Export Data to make sure all necessary data is included. You can also choose to include images, documents, and Salesforce files if needed.

Start Export: Once you’ve selected your data, click Start Export or Save, and wait for the export process to complete. Salesforce will generate a zip file containing CSV files for your data.

2. Import Data to Zoho CRM

Once your Salesforce data is ready, the next step is importing it into Zoho CRM. Follow these instructions:

1. Login to Zoho CRM: Log in to your Zoho CRM account with administrative privileges.

2. Navigate to Data Migration: In Zoho CRM, go to Settings >Data Migration > Import.

3. Choose Salesforce as Source: On the Data Migration page, select the Salesforce option.

Upload Your Files: Browse and upload the Salesforce CSV files you exported earlier. You can upload multiple files at once for different modules.

Click Next: Zoho will automatically read and process the datafiles and map them to the appropriate modules.

3. Map Salesforce Data to Zoho CRM

After uploading your data, the next critical step is mapping your Salesforce data to the corresponding Zoho CRM fields.

Map Modules: Each file corresponds to a specific module in Zoho CRM. Zoho CRM will auto-map the modules based on the imported CSV data. Review and ensure all modules are mapped correctly.

Map Fields:

1. This is the longest part of the process. You’ll need to manually map the fields from Salesforce to Zoho CRM, ensuring the correct data format (e.g., date format, number format).

2. Some fields, like Leads or Accounts, may require creating new fields in Zoho. Follow the prompts to create those fields if necessary.

3. For complex modules like Invoices and Sales Orders, Zoho may require special handling, including setting lookup fields(maximum of 5 lookups per module).

Tip: Zoho allows you to map related fields like Invoices and Invoice Line Items together, so be sure to map them correctly.

4. Complete the Migration Process

Once the modules and fields are mapped, you’re ready to proceed with the final steps of the migration:

Review Mapping: Zoho will prompt you to review the module and field mappings. Carefully check the mappings to ensure everything is correct.

Start Migration: If everything looks good, click Start Migration to begin the data transfer.

Monitor the Migration: The data migration process will begin, and you’ll see a progress indicator showing the number of records processed.

Handle Skipped Records: Some records may be skipped if there are data format issues or mandatory field requirements that weren’t met. You can view these skipped records by clicking on the “Skipped” count.

· If more than 5,000 records are skipped, the process will pause. In that case, you’ll need to adjust the mapping and restart the migration.

Tip: Be patient and ensure all records are properly imported. It’s not uncommon to go back and re-map fields if something goes wrong.

5. Post-Migration Validation

Once the migration is complete, you’ll need to validate the data in Zoho CRM:

1. Check Data Integrity: Review your imported data in Zoho CRM to ensure that all records have been imported accurately.

2. Check Relationships Between Modules: Ensure that the relationships between modules (e.g., Leads to Accounts) are properly linked.

 3. Test CRM Functionality: Run some tests to make sure workflows, reports, and integrations are working as expected.

4. Handle Any Errors: If any errors were encountered during the migration, use Zoho’s built-in tools to fix them or re-import any missing data.

6. Post-Migration Clean-Up and Adjustments

Once the migration is complete, it’s time to do some post-migration work:

1. Clean Up Data: Use Zoho CRM’s data management features to clean up any duplicate records or incomplete entries.

 2. Adjust Customization: If you created custom fields during the mapping process, ensure they are set up properly in Zoho CRM for smooth operations.

 3. Configure User Access and Permissions: Setup user roles and permissions in Zoho CRM according to your organizational needs.

7. Troubleshooting and Revisions (If Something GoesWrong)

In case something goes wrong during or after the migration, here are some steps to take:

1. Monitor for Skipped Records: Keep an eye on the number of skipped records during the migration. If they exceed 5000, the process will pause, and you’ll need to restart it after correcting the errors.

2. Check Import History: If the migration process is interrupted, go to Settings > Data Management > Import History to get details on why certain records were skipped.

3. Reimport Data: If you missed uploading a file or data field, you can re-import the files after making the necessary adjustments.

4. Contact Zoho Support: If you’re facing persistent issues, Zoho’s support team can assist in troubleshooting.
